Section 1 – How to make and receive calls


You can make and receive calls from the teams smartphone app, teams app on your computer or use your desktop phone.

  1. Calling out to an external phone number – click “Calls” > then select the blue phone icon in the bottom right corner then enter the phone number you want to call.
  2. Calling someone internally– Click People, then enter the name of the person.
    1. Directory Contacts – this is pulling contacts from the company directory.
    2. Device Contacts – this is pulling contacts from your smartphones contact list.
  3. Receiving a call - When receiving a call you will have a window pop up on your devices telling you who is calling. Use the blue check box to answer the call, the red phone to decline call.



Section 2 – Call Settings

 

Settings in a call (the … More)

Below is a list of options that you may want to try out.

  • People – Add additional people to the call. Click people then enter the name of who you want to add to the call.
  • Live Captions – teams will add captions to your call for if you are having a hard time hearing someone you could turn this on.
  • Turn on RTT for this call – Real time translation allows you to have the call translated into different languages as you talk back to someone on the call.


Adding a user to Speed Dial – Click the three dots (…) next to a user from your recent calls then click “Add to speed dial”.


Section 3 – Transferring a Call

 

To transfer a call, click “transfer” while in a call, then type in the name of the person you want to transfer to. Directory contacts will transfer to internal users.  Note: you can transfer to device contacts (external users) also.

- Transfer vs Consult then Transfer – Consult when transfer allows you to talk to the person you are transferring to while the caller is on hold. Then you can transfer after consulting with the person the call is intended for.



Section 4 – Voicemail

 

How to setup your voicemail FROM YOUR DESK PHONE.

  1. Select your initials or profile picture in the top left corner of the screen.
  2. Select “Settings” 
  3. Select “Calling”
  1. Select “Change Voicemail Greetings”
  1. The phone will then call your voicemail and give prompts to set your voicemail message.

Section 5 – Devices
 

Smartphones

Notifications need to be turned on and adjusted so that you don’t miss any calls if you do not have a desk phone. On an iPhone go to settings > Apps > Teams Notifications > select “allow notifications”

To Change Ringtones & Volume Levels:

Select your initials or profile picture in the top left corner of the screen.

Select Settings

Go to Device Settings

Choose Ringtones

Select a ringtone and set volume

Managing where calls ring. How to customize what devices ring.

 

1. Stop Your Computer From Ringing (Most Common Request)

If you want ONLY your desk phone and/or mobile to ring:

On your computer:

  1. Open Teams
  2. Click your profile picture
  3. Select Settings
  4. Go to Devices
  5. Under Secondary ringer, set it to None
  6. Under Audio devices, choose a different device than your speakers if needed

This prevents your PC speakers or headset from ringing.

2. Control Where Incoming Calls Ring (Teams Call Settings)

On your computer or phone:

  1. Go to Settings
  2. Select Calls
  3. At the top, look for Call answering rules

You will see:

“Ring me”

Choose the ONE device you want as your primary Teams calling device.

“Also ring” / “Simultaneous ring”

You can choose:

  • Your mobile
  • Your desk phone (logged-in Teams phone)
  • Another person
  • No secondary device

To make ONLY your desk phone ring:

  • Set Ring me: Teams Phone
  • Set Also ring: Off

To make ONLY your computer ring:

  • Set Ring me: This device
  • Turn off Also ring


3. Control Mobile App Notifications (Optional)

If your phone is also ringing and you want to stop it:

On iPhone:

Settings → Notifications → Teams → Turn off Allow Notifications

Inside Teams Mobile App:

Teams app → Tap profile → Notifications → Adjust Incoming calls

This stops the phone from ringing but still lets you use Teams normally.
